An Inventory is a vital part of the letting process as it will be used as documentary evidence to establish the condition and contents of a property at the start and end of a given tenancy. It will contain detailed information about a Landlords property, including the décor, fixtures and fittings, all contents, the garden and any outbuildings. with supporting photographic evidence. At the end of each tenancy this detailed document enables accurate assessments to be made about damage and cleaning issues chargeable to the Tenant.
Should there be an end of tenancy dispute the Inventory will be used as the primary piece of evidence by deposit scheme arbitrators or in a court of law.
The purpose of a Check In is to ensure that the Inventory contents and descriptions are correct, noting any changes or additions, and to check appliances, alarms, keys and take meter readings for a final time before the Tenant checks in.
The Inventory Clerk will meet the tenant at the time of Check In, release keys, fobs and permits. Once the Check in is online, the tenants will then be able to add any additional comments or photo's, if need be, then sign the declaration to certify that they are happy with all comments listed. The inventory and Check In declaration will be used at the end of the tenancy to make detailed comparisons about any changes – ie damage caused, cleaning required or replacements necessary at the tenant’s expense.
The purpose of a Check Out is to conduct a detailed inspection of the property at the end of a tenancy, assessing and noting any damage or cleaning issues, and checking for missing items, or items left by the tenant. This report would also note the return of keys, fobs, parking permits, ensuring that these are the same as released at the Check In. The tenants contact details and forwarding address will be recorded,
Once the Check Out is concluded, and the final meter readings taken
the Independent Inventory Clerk will then provide a detailed report listing their findings with supporting photographic evidence of any issues, fair wear and tear or other actions required to return the property to the correct standard.
A Mid Term inspection is to check on how the property is being treated, and if there are any maintenance issues that need addressing. The report will summarise the condition, with photo evidence if necessary, and any additional comment made by the Tenant.
An Energy Performance Certificate (EPC) is a legally valid document which provides an energy efficiency rating (displayed on an A-G scale) in relation to a property’s running costs. This rating will take into account the potential energy performance of the property itself (the fabric) and its services (heating, lighting, hot water etc).

Not all properties are used in the same way. The energy efficiency rating uses ‘standard occupancy’ assumptions (typically 2 adults and 2 children) which may be very different from the way in which occupiers actually use things like heating and lighting within their property.

It is recommended that a property’s EPC should be made available to potential buyers as soon as it is marketed for sale or rent.
